Refund & Cancellation Policy
Over the Horizon Veteran Medical Consulting
Effective Date: January 9, 2026
1. Purpose
This Refund & Cancellation Policy explains the circumstances under which refunds or cancellations may be permitted for services provided by Over the Horizon Veteran Medical Consulting (“the Company,” “we,” “our,” or “us”), consistent with applicable consumer protection laws.
2. When Work Begins
For purposes of this Policy, work is deemed to begin when the Company commences substantive record review, medical documentation analysis, drafting, or preparation of any client-specific materials. Administrative intake, scheduling, or preliminary communications alone do not constitute the start of work.
3. Refund Policy After Work Begins
Once work has begun as defined above, fees are generally non-refundable. This policy reflects the professional time, expertise, and resources committed to each engagement. Notwithstanding the foregoing, the Company may, in its discretion and as required by law, issue partial or full refunds in appropriate circumstances.
4. Refund Eligibility Before Work Begins
Refunds may be granted prior to the commencement of work when:
• The client submits a written cancellation request before work begins.
• The Company declines to accept or proceed with the engagement.
• A duplicate or erroneous payment is identified.
5. Cancellations
Cancellation requests must be submitted in writing through the Company’s designated communication channels. Cancellations are effective upon confirmation by the Company. Requests received after work has begun will be governed by Section 3 of this Policy.
6. Turnaround Time and Delays
Any estimated turnaround times are provided for planning purposes only and are not guarantees. Delays caused by late client submissions, incomplete or inaccurate records, client unresponsiveness, or external factors beyond the Company’s control do not qualify for refunds.
7. VA Claim Outcomes
Refunds are not issued based on the outcome of any VA claim, including claim denials, rating determinations, benefit levels, processing timelines, or appeal outcomes. The Department of Veterans Affairs retains sole authority over all claim decisions.
8. Consumer Rights
Nothing in this Policy is intended to limit or waive any non-waivable rights available to clients under applicable law. This Policy shall be applied in a manner consistent with good faith and fair dealing.
